Cargo owners issue long-term price inquiries, known as RFQs, to logistics companies with the aim of procuring international transport services. These are global and extensive price inquiries, mainly in Excel format, whose coordination and response are a serious headache for large companies. At the same time, these price inquiries are a significant source of revenue for transport and logistics companies. The best practice in managing price inquiries today is mainly based on manual Excel work, whose biggest weakness is human error, primarily caused by extensive correspondence and the lack of automated analysis.
The goal of the Sourcify application is to automate the collection and consolidation of prices, and as an added value, to offer various analytical algorithms and data validation rules to improve the quality of price quotes.
The system that has been developed allows the logistics company’s Tender Manager to create a Request For Quotation (RFQ) sheet. The RFQ includes general information about the client, deadlines (with the possibility to set different deadlines for different parties), and the rate card file.
Different country departments or partner companies of the logistics company receive an email notification with a link. Countries are enabled to download the file and fill in the fields defined by the system. The system validates the filled fields upon upload and allows the country to submit the price quotes. The system consolidates all RFQ files and enables the Tender Manager to get aggregated data from the price quotes of different countries. The Tender Manager can see the progress of the RFQ files, i.e., which countries have already submitted their prices and which have not.
The created system reduces manual work and saves time. It allows for system validation, thereby reducing the submission of incorrect or incomplete data. Additionally, the system allows for data analysis, viewing history, and user management.
Product development continues, and the idea has grown into an in-house tool for large companies. Today, the software is being used by several of the world’s largest logistics companies.
